1. The agreement
These terms are an agreement between you (and the company you represent) and GroenTech Systems (Pty) Ltd(“GroenTech”), governing your use of the GS-Connect platform. By creating an account you accept these terms and our Privacy Policy. If you register on behalf of a company, you confirm you are authorised to bind it.
2. Your account
You are responsible for the accuracy of your account and company information, for keeping your credentials confidential, and for all activity under your account. We strongly recommend enabling two-factor authentication. Company administrators control who they invite and what role those members receive; invited members act under the administrator’s company.
3. Your content and documents
You retain ownership of everything you upload or create on GS-Connect — compliance documents, company information, and billing documents. You grant GroenTech a licence to host, process (including automated document analysis), and display that content solely to provide the platform, per your instructions and sharing choices.
You are responsible for what you upload: you must be entitled to it, and where documents contain personal information of third parties (for example company directors), you are the responsible party for that information under POPIA and must have a lawful basis to upload and share it. Do not upload unlawful content or content that infringes others’ rights.
Sharing on the platform is consent-driven: accepting a partner connection makes your shared compliance profile visible to that partner (and theirs to you) until the partnership is dissolved. Your company name, industry, and offerings are listed in the platform’s company register, visible to signed-in users.
4. Plans, billing, and cancellation
- Prices are in South African Rand (ZAR) and are stated on our pricing page. Payments are processed by PayFast.
- Paid plans renew automatically (monthly or annually) until cancelled. Mid-cycle upgrades are charged pro-rata: the first charge is discounted for unused time on your current plan; renewals are at full plan price from the upgrade date.
- You may cancel at any time from your account page; access continues until the end of the paid period, after which the account moves to the free plan.
- Plan limits (users, documents, partners, module features) apply per plan. On downgrade, content and members over the new plan’s limits are suspended or hidden — not deleted — and are restored on upgrade.
- A VAT tax invoice is emailed for every subscription payment.
5. Acceptable use
You may not:
- upload false or fraudulent compliance documents, or misrepresent your company’s compliance status;
- access or attempt to access other companies’ data beyond what the platform’s sharing model grants you;
- probe, disable, or circumvent the platform’s security, or use automation to scrape the company register;
- use the platform to send spam or unlawful communications.
We may suspend accounts that breach these terms, with notice where reasonable.
6. AI features
GS-Connect includes AI features: document classification and field extraction, and an optional help assistant. AI output can be imperfect — verify extracted document details and AI answers before relying on them. Compliance decisions remain yours; GS-Connect supports your compliance process but does not constitute legal, tax, or B-BBEE advice.
7. Availability and support
We aim for high availability but the service is provided “as is” without a formal uptime guarantee (Enterprise plans may include a separate SLA). Support is available via the in-app help centre and support tickets.
8. Liability
To the maximum extent permitted by law (including the Consumer Protection Act where it applies), GroenTech’s total liability arising from the platform is limited to the subscription fees you paid in the 12 months before the claim. We are not liable for indirect or consequential loss, including loss arising from reliance on AI-generated output or another user’s misrepresented compliance status.
9. Termination and your data
You may close your account by contacting admin@groentechsystems.com. On closure, your data is handled as described in the Privacy Policy — deleted or de-identified except where law requires retention (for example, 5 years for financial records).
10. General
These terms are governed by South African law. If we make material changes, we will announce them in-app or by email; continued use after a change takes effect constitutes acceptance. If any clause is unenforceable, the rest remain in force.
